Chief Operations Officer

Simon Says provides help, advice and support to children and young people who are dealing with the death of someone significant in their lives.

 

The Chief Operations Officer will have overall responsibility for managing the change, growth and performance of Simon Says as agreed with the Board of Trustees.  In addition, he/she will be required to meet the challenges of innovation and empowerment in our mission statement.  This vital role will provide key elements in sustaining and developing the service we provide.

Reports to – The Chair of Trustees

 

Leadership

  • Provide leadership – to the organisation, the staff and the volunteering body

  • Promote and expand the profile, role and impact of the Charity

  • Lead on the external contact and communications strategy

  • Ensure effective management of HR including the recruitment, supervision and development of both staff and volunteers

  • Maintain and develop the IT, web and online strategies

  • Create a positive working environment in which equality and diversity are well managed, dignity at work is upheld and staff and volunteers are able to achieve their best

  • Peer to Peer relationships with other organisations. (such as other bereavement charities, universities etc.)

  • Lead on GDPR and maintaining records

  • Lead on safeguarding and maintain the Child Protection policy and register, reporting quarterly to the board and working with the Child Protection Officer

Supporting the Board of Trustees

  • Plan, develop, implement and deliver the strategic plan and present regular progress updates to the Board

  • Maintain and deliver the Charity’s policies

  • Ensure compliance with all regulatory bodies and legislation

  • Prepare the annual report and submit it to the regulators

  • Keep the Charity Commission updated

  • Produce the Trustee pack for any new Trustees and update the Charity Commission.

  • Prepare the Trustee board packs and arrange the meetings. (Agenda, minutes, KPI’s, Risk Register, CP register, operational update, governance update, finance etc.)

  • Work with the Treasurer to prepare and deliver budgets

  • Organise the AGM or equivalent

  • Support the Chair of Trustees in the delivery of the Charity’s aims and mission statement

Service Delivery

  • Ensure excellent quality control of our service by understanding our offering at grass root level

  • Regularly visit our support groups to monitor, evaluate and implement ongoing improvements

  • Overall management and responsibility of the service delivery namely the helpline; support groups; online support; training and advice; residential weekends; activity day etc.

  • Ensure that all our support groups and helpline are appropriately supported by volunteers, (stepping in when required)

  • Report and monitor the Key Performance Indicators and adapt the service to meet the needs of our service users

  • Maintain and develop the Charity’s database

  • Ensure responsive communications to all incoming enquiries via: info@, support@, volunteers@, fundraising@ emails; incoming calls & social media enquiries

  • Ensure our social media platforms are utilised for fundraising, support and charity communication

  • Ensure regular newsletters go out to professionals, service users and volunteers

Fundraising

  • Point of contact for the National Lottery Grant, including the management and reporting.

  • Plan, develop, implement and deliver a fundraising strategy

  • Identify and secure funding through grant applications, working with supporters etc. Delivering any reporting requirements as a result of the funding.

  • Organise, deliver and attend fundraising events such as the GSR; London to Brighton; Charity events etc.

  • Supervise the fundraising team of volunteers

  • Maintain and develop relationships with funders

  • Ensure that appropriate “thanks” are given and shared on our social media platforms

  • Collection pots are promoted and collected/replaced when required

Volunteers

  • Advertise for and recruit volunteers to support the needs of the charity

  • DBS check all of our staff, trustees and volunteers. (Recheck every 3 years).

  • Ensure that all of our volunteers receive training and support

  • Regular check in with our volunteers, and arrange quarterly training/update/social

  • Annual review all volunteers

  • Develop and maintain relationships with the voluntary services

  • Ensure our volunteers feel valued (birthday cards; Christmas cards; 5 year awards etc.)

  • Develop a regular newsletter specifically to the volunteers

Staff

  • Recruit, train, develop, support, manage and performance evaluate the staff.

Office Management

  • Maintain the office duties such as the telephones; fire extinguishers; PAT testing; IT solutions; franking machine; stationery ordering etc.

  • Maintain the office building arranging works with the landlord when required

  • Ensure that our resources are up to date and printed when required

As a small Charity it is important to be flexible and ensure that the charity runs smoothly in all areas.  This will sometimes mean becoming involved in or taking on all manner of tasks.

Salary – £35k – £45k p.a. (pro-rata) dependent on skills and experience.

Hours – 20-25 hours per week (some working hours at the evening and weekend)
